Physio2Go (“we”, “us”, “our”) provides mobile physiotherapy services in the Greater Toronto Area. This Privacy Policy explains how we handle information on our website and in our practice, in line with Ontario’s Personal Health Information Protection Act, 2004 (PHIPA) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

4. Patient information and ClinicSense

Although physio2go.ca does not collect patient information directly, we do collect and manage patient information when you become a client of our practice. This is done outside the public website, primarily through:

  • In‑person and virtual visits (phone or video)
  • Direct email or phone communication
  • ClinicSense, our third‑party practice management and electronic medical record (EMR) system

Through our clinical practice (not via the marketing website), we may collect:

  • Identification and contact information: name, date of birth, address, phone number, email, and emergency contact.
  • Health information: medical history, medications, imaging and test results, injuries, functional status, and treatment notes.
  • Administrative and payment information: insurance details, billing records, and appointment history.

ClinicSense acts as a service provider that securely stores and processes patient information on our behalf. We remain responsible for your personal health information under PHIPA and PIPEDA.

We use patient information to:

  • Provide safe and effective physiotherapy care
  • Communicate with you about appointments, treatment, and reports
  • Coordinate with other health‑care providers and insurers, with your consent and as required
  • Fulfil legal, regulatory, and record‑keeping obligations in Ontario

We do not sell patient information.


5. How we protect and retain information

We use physical, administrative, and technical safeguards to protect personal and health information, including:

  • Secure EMR (ClinicSense), passwords, user access controls, and secure devices
  • Appropriate configuration of third‑party plugins and tools to limit personal data collection where possible
  • Secure disposal or anonymization of records when they are no longer required by law or professional standards

We retain patient records for at least the minimum period required by PHIPA and the standards for physiotherapists in Ontario, after which they are securely destroyed or anonymized.

As a patient, and subject to limited exceptions in PHIPA, you have the right to:

  • Request access to your health record and receive a copy within a reasonable time and at a reasonable cost
  • Request corrections to incomplete or inaccurate information
  • Ask how your information has been used and to whom it has been disclosed in relation to your care
  • Withdraw or change your consent to certain uses or disclosures, subject to legal and contractual limits

2. Mobile physiotherapy services

2.1 Booking and scheduling

  • Bookings are managed through ClinicSense or direct contact (phone/email).
  • All bookings are subject to availability and clinician confirmation.
  • We reserve the right to cancel or reschedule appointments with reasonable notice.

2.2 Service area

  • Services are provided in the Greater Toronto Area (GTA), specifically [list your service areas, e.g., Scarborough, Richmond Hill, and surrounding areas].
  • Travel fees may apply for locations outside standard zones—confirmed at booking.

2.3 Fees and payment

  • Fees are quoted at booking and subject to change with notice.
  • Payment is due at the time of service via cash or electronic invoice (processed securely through ClinicSense or approved methods).
  • Prices are in CAD and include HST where applicable.

2.4 Cancellation and no-show policy

  • Cancel or reschedule with at least 48 hours’ notice: no charge.
  • Less than 24 hours’ notice: 50% service fee.
  • Repeated late cancellations/no-shows may result in service suspension.

2.5 Late arrival policy

  • Arriving late may result in a shortened session and/or rescheduling at our discretion, with full fee charged.

2.6 Insurance and direct billing

  • We direct bill many insurers (e.g., extended health benefits). Provide full coverage details at intake.
  • Unpaid balances or non-covered services are your responsibility.

2.7 Consent and medical information

  • Services require informed consent, discussed at your first visit.
  • Provide accurate health history. We are not liable for undisclosed conditions or allergies.
  • Treatment plans are customized but not guaranteed to achieve specific outcomes.

3. Liability limitations

3.1 No medical guarantee

Physiotherapy outcomes vary by individual. We provide services with reasonable care but cannot guarantee results.

3.2 Limitation of liability

To the fullest extent permitted by law:

  • We are not liable for indirect, incidental, or consequential damages (e.g., lost income, pain).
  • Total liability is limited to the fee paid for the specific service causing the issue.

3.3 Force majeure

We are not liable for delays or failures due to events beyond our control (e.g., weather, traffic, pandemics).


4. Governing law

These Terms are governed by the laws of Ontario and Canada. Any disputes will be resolved exclusively in Ontario courts.
